Automated Emails

Automating emails is easy, using templates with easy drag and drop email builders. Use one of our default templates and you will be up and running in minutes.

Can I choose who I send automated emails to?

Yes  you can choose to send auto emails to all members of a nominated contact list, or only the members buyer/tenant matched to the listing with active requirements. This works seamlessly when you have auto enquiry feeds set up for your REA and Domain enquiries. Enquires feed directly into your database, automatically creating both a specific property and general buyer requirements. 

Can I set up department specific automated emails?

Yes you can. Automated email templates can be created in each residential, commercial, rural, and rental listing department. In commercial departments separate templates can be created for Sale, Lease, and Sale or Lease listing types.  

Can I use merge fields in automated emails?

Yes we have a range of merge fields by template that you can use to auto fill details. Some of the common ones are contact name, primary lister details and web address. All available merge fields will appear on the left hand side of the email builder.

Can I select times the times and days that automated emails will send?

Yes you have complete control. For example you would like to send your Open for Inspections on a Wednesday and Saturday at 3pm. Simply select the required days and times. For other automated emails New listings or Just sold you can  select to send emails immediately or after a specific period of time.

Can I view the automated email before it sends?

Yes you can set the email to automatically create as a draft. This will enable you to view it before choosing to send or delete the email. At any time you wish to turn off this feature you can simply select auto send on the template.

What triggers an email to send?

Each automated email has there own trigger please see below under each email type.

Except for the Upcoming Open Homes Automated Email and the Open Home Attendee Automated Email, all other automated emails are only triggered to send once per listing / new enquiryHowever, if you delete the generated email before it is sent the template may be trigger again for the listing if it still meets the criteria above.

New Listings Automated Email:

The perfect way to advise your potential buyers or tenants of a new listing that matches their requirements.  

The New Listings Automated Email template is used to automatically create/send a listing brochure email when a new listing is first added to your MultiArray eMarketing web portal.

What triggers the New Listing Automated email to send?
The email is triggered to send using the publish date on the MultiArray eMarketing Web portal. When adding your listing please tick “Show on Web” and “MultiArray EMarketing” and enter a published date within the last 8 days.  

Just Sold / Leased Auto Email

This template is used to generate an email when a listing is sold or leased. It is a great way to advise not only that the property is leased or sold but also to include a strip list of available properties.

What triggers the Just Sold / Leased Automated email to send?
The email is triggered  for sales by the “Definition of ‘Sold’ on web” date is reached. This could be the signed, exchanged, unconditional, exchanged, section 27 or settled date. For Property Management the trigger is marking the property as leased. 

New General Buyer/Leaser Enquiries Automated Email

A great way to introduce your agency to a new enquirer. This template is used to generate an automated email when a new general buyer enquiry is created. The email will be sent to the contact that the enquiry is attached to. Remember, the contact must be a member of the contact list assigned to the template. The template will usually include a buyer match or new listings strip list.

What triggers the New General Buyer/Leaser Enquiry Automated email to send?
The email is triggered by the creation of a new buyer enquiry. The enquiry must have the “Accepts Email Alert” option ticked.  This will be tick be default for enquiries that automatically feed from REA and Domain.


New Specific Listing Enquiry Automated Email

This template is used to generate an email when a new listing enquiry is created. T

What triggers the New Specific Listing Enquiry Automated email to send?
This email is triggered by the creation of a new listing enquiry. The enquiry must have the “Accepts Email Alert” option ticked. The enquiry must have the “Accepts Email Alert” option ticked.  This will be tick be default for enquiries that automatically feed from REA and Domain.

Upcoming Open Homes Automated Email

A perfect way to let your active enquiries know about your upcoming opens. Send out weekly or bi-weekly.  This email is usually sent in the form a strip list of upcoming open homes.

What triggers the Open Home  Automated email to send?
This email is triggered at the nominated time and days selected in the template schedule settings.


Open Home Attendee Email Automated Email

This template is used to generate an email to the attendees of an open house appointment.  The generated email will be sent to the contacts attached to the open home appointment with an booking status of “Attended”. Remember the contacts must also be a member of the contact list assigned to the template.

It is a great way to follow-up post an open home and automatically send out further details on the property automatically attaching links to IM, Building and Pest, Contracts and more. 

What triggers the Open Home Attendee Automated email to send?
This email is triggered to send to all attendees at the end time of an open home appointment. You may choose to add a delay in the template schedule settings to allow time to check/add attendees to the appointment after it concludes. You can automated the checking in at open homes using our self check feature (via QR Code).
